Compliance

Quality and safety: organised, not scattered

Policies, credentials, audits, incidents, and cold chain, kept current, visible, and ready when someone asks.

Compliance work shouldn't live in a different system to the work that creates the evidence.

Supports QCPP-style obligations and emerging QSPP requirements. PharmStack does not replace professional judgement, accreditation, or consultant advice.

The problem

Compliance work is real. Spreadsheets aren't.

Policies in folders. Training certificates in email. Audits on paper. Fridge checks in one system and stock reviews in another. When a credential expires or an audit is due, you find out late , or during a stressful week.

PharmStack Compliance doesn't ask you to change how a well-run pharmacy operates. It gives you one record for the work you're already expected to do.

Before PharmStack

  • Policies in folders and shared drives
  • Training certificates in email
  • Audits on paper or ad hoc
  • Fridge checks in one place, stock reviews in another
  • Credentials expire without anyone noticing until it’s urgent

With PharmStack

  • One record for policies, credentials, and audits
  • Expiry dates and review queues managers can see
  • Scheduled audits with sign-off history
  • Incidents and feedback in a structured register
  • Fridge logs and compliance stock in the same compliance story

One portal, not two systems

Compliance beside daily work, on the same Home screen

Most compliance tools are separate systems. PharmStack isn't standalone compliance software. It's pharmacy operations software with compliance built in.

Other systems

  • Separate compliance login
  • Separate daily operations tools
  • Evidence scattered across folders and spreadsheets
  • Managers find out what’s overdue during inspection prep

PharmStack

  • One Home screen your team opens every shift
  • One Needs attention queue for tasks and compliance
  • One staff portal for operations and governance together
  • See issues developing weeks before anyone asks

Compliance isn't another system to check.

Overdue credentials, audits, fridge checks, incidents, and policy reviews surface in the same Needs Attention queue your team already uses every day.

Manager dashboard

Know what needs attention before it becomes a problem

Stop finding out about compliance issues at the worst possible time.

See overdue credentials, upcoming audits, policy reviews, fridge checks, incidents awaiting review, and compliance tasks in one dashboard, with a readiness score and action queue across every module.

Instead of preparing for inspections in a rush, managers can see issues developing weeks in advance.

  • Overdue staff and pharmacy credentials
  • Upcoming and overdue audits
  • Policy reviews due
  • Fridge checks and compliance stock tasks
  • Incidents awaiting review
  • Readiness score and action queue across every module

The outcome isn't a policy register on a shelf. It's knowing what is overdue and what needs attention.

What's included

The compliance system behind the dashboard

Policies, audits, credentials, incidents, and records: the machinery that keeps your manager dashboard accurate and useful.

Policy register

Policies where staff and managers can find them

Start from a pre-built register of pharmacy policy types covering governance, dispensing, infection control, privacy, WHS, stock, cold chain, HR, and more. These are the kinds of documents a quality-run pharmacy already maintains. Track review dates, link policies to your evidence, and keep the register current as frameworks evolve.

Not a blank template. A sensible starting register you adapt to your pharmacy.

Audit programme

Scheduled audits, not one-off panic

Turn on Compliance and get a starter audit schedule aligned to common quality domains. Run audits in the portal, sign them off, and keep completed periods on record. Add your own audits when you need them.

  • Premises checklist (quarterly)
  • Infection control audit (annual)
  • Security & access review (annual)
  • Module reviews tied to policies, staff training, stock, cold chain, incidents, and patient feedback

The rhythm of a well-managed pharmacy, on a calendar, with accountability.

Staff & pharmacy credentials

Training and registration: tracked, not forgotten

Track staff credentials from induction through role-specific training: privacy, infection control, WHS, incident reporting, open disclosure, cultural safety, and more. Set what’s required by role, see what’s missing, expiring, or needs review. Pharmacy-level credentials sit in the same workspace.

Know who’s current before roster gaps or inspection prep, not after.

Incidents & feedback

Record, review, improve

Log incidents and near misses. Review trends on a schedule. Manage feedback and complaints in a structured register, separate from day-to-day tasks, but connected to the same compliance picture.

Safety improvement depends on records you can actually use, not notes that disappear.

Fridge logs & compliance stock

Cold chain and stock evidence in one compliance story

Fridge temperature logs with scheduled AM/PM checks. Compliance stock for expiry reviews, recalls, and medicine disposal, the operational records that support cold chain and stock management obligations.

Less double-handling between daily work and compliance evidence.

Inspection readiness

Map your evidence to quality requirements

For stores preparing against QCPP, QSPP, or internal standards, the inspection readiness view helps you see requirements, evidence expectations, and review status in one place, so you can work toward demonstration with clearer visibility.

As national quality frameworks mature, your register and evidence stay in one system, not a new project every year.

Framework mappings are updated as published standards evolve. PharmStack does not guarantee accreditation outcomes.

Know what's overdue before it becomes urgent.

See credentials, audits, policies, incidents, and cold-chain records in one place, for pharmacies that want visibility, not more spreadsheets.

Not affiliated with or endorsed by QSPP. PharmStack helps you manage compliance work, it does not certify your pharmacy.

What Compliance is and isn't

Not accreditation in a box

This isn't accreditation in a box. It's the operational record-keeping serious pharmacies do anyway, finally in one system beside your daily workflow.

Built for how pharmacies already operate

Structured for emerging Australian quality frameworks, without claiming QSPP endorsement. You still own your policies, clinical decisions, and accreditation pathway.

FAQ

What is the Compliance plan?
Compliance is PharmStack’s manager-focused module: a dashboard that shows what’s overdue and needs attention, plus policies, credentials, audits, incidents, feedback, fridge logs, and stock compliance, in the same portal as your daily operations.
Is this QSPP certification?
No. PharmStack is not endorsed by QSPP and does not certify your pharmacy. Compliance is software to organise and run the policies, training records, audits, and registers that quality frameworks expect, the same operational discipline good pharmacies already follow.
We’re waiting for the full QSPP documentation: is this still useful?
Yes. The module is built around how pharmacies actually run: current policies, trained staff, regular audits, incident review, cold chain, and stock controls. As QSPP and related frameworks are published and updated, you can adapt your register and readiness mapping in one place rather than rebuilding from scratch.
Does Compliance replace my SOPs or consultant?
No. You still own your policies, clinical decisions, and accreditation pathway. PharmStack gives you structure, schedules, and visibility, not professional sign-off on your compliance status.
Who is Compliance for?
Owners, pharmacists-in-charge, and managers responsible for credentials, audits, policy review, and inspection prep, especially stores moving toward stricter quality documentation without adding another disconnected tool.
Can I start on Core and upgrade later?
Yes. Most stores choose Compliance from the start, it includes Core. You can start on Core ($99) for operations only and upgrade when you’re ready to centralise governance work.

See what's overdue before anyone asks

Book a short call and we'll start with the manager dashboard: what's overdue, what's coming up, and how it sits beside your daily operations.

Most pharmacies are live within 1–2 days.
